Clinical clearance at GW Nursing: what has to be true before your first hour
A GW rotation starts only when the Clinical Placement Team clears you, and GW's 2021 clinical placement guide names four things that must all be finished first: a fully signed contract with the site, your preceptor's paperwork, an approved Complio account, and whatever extra the site or state demands. Notices of clearance arrive in the week before classes, and no hour counts before the first day of the term that follows.

The four items GW checks
GW's 2021 clinical placement guide says the Clinical Placement Team issues clearance only once four pieces are complete for that specific rotation. The guide remains in GW's Box storage although the clinical pages stopped pointing to it, so read it as the most detailed public version and check CORE's Document Library for anything newer that applies to your term.

GW's current Clinical Rotations page describes the same division of labor more briefly: the university finishes the clinical agreement, gathers the preceptor's paperwork and clears the student. Your part is getting the right people and documents in front of GW early enough for all four to land before the term.
Where clearance sits in GW's review
GW's 2026 CORE workshop lays out the backend review of each Site Prospector submission in a fixed order. Program Director Review comes first. The Affiliation Agreement follows, then Placement Confirmation, a Student Compliance check and, last of all, Site Onboarding. Clearance is the notification at the end of that chain. It is not a separate application you file.
That order explains most delays. A site the program director has not approved never reaches the agreement stage, and a signed agreement still sits and waits if your Complio record has gaps. Each rotation is cleared on its own. A second site or a new term means another submission and another pass through the same checks, even when the preceptor is someone you have worked with before.
Each item, and what usually holds it up
Common hold-ups, item by item
- Agreement. If GW has no contract with the site, the placement team has to negotiate one, and that can run for weeks or months. Your request must name the site's authorized signatory, normally a different person from your preceptor. The affiliation agreements page covers this step.
- Preceptor documentation. A missing license number, a license that expires mid-term or a biography with blank sections sends the file back for another round. The biography and guide page lists every field GW's form asks for.
- Complio. GW warns against buying Complio earlier than four months ahead of your clinical start, and GW's student guide to Complio puts document review at one to three business days. Late uploads pile up against the start date. The Complio requirements page has the full checklist.
- Site and state extras. Some sites add their own onboarding, badging or screening. GW's 2021 guide also notes that some sites refuse vaccine exemptions outright, whatever GW itself allows.
GW's Bulletin adds a firm stop on the compliance side: graduate students may not enroll in clinical courses until their immunization requirements are complete.
Clearance notifications and the first two weeks
GW's 2026 CORE deck plans for clearance notices to reach students during the last week before the term's classes open. For many students that is the moment a rotation becomes final, even when the preceptor said yes months earlier.
The deck also draws an outer line: a site has to be secured by the close of the term's second week. Treat that as a backstop rather than a target. Agreements alone can take months, which is why GW asks for requests so far ahead. The dates for your term are on the deadlines page and in CORE's Document Library.
If no notification has arrived by the first day of classes, look in CORE to see which review stage is still open, then ask the placement team what is missing. GW's 2021 guide ties late requests directly to late clearance, so a delayed start usually traces back to a submission that went in after the deadline.
When your hours can start
The clock on your hours starts with the opening of the term that follows your clearance, and not a day sooner. The 2026 CORE workshop is blunt about it, and it adds that every clinical hour has to sit between the semester's first and last dates. A shadowing day in August does not carry into a fall rotation.
Only the Clinical Placement Team can give you permission to begin. GW's 2021 guide is specific here: your faculty cannot grant it, and neither can the site, even if the preceptor is ready and your badge is printed.

GW's 2021 guide says entering a clinical site before clearance "may be cause for dismissal." A preceptor's invitation to come in early does not change that.
Hours that do not count
Clearance is not a one-time stamp. According to GW's 2021 guide, hours logged without proper licensure, or during a period when clearance has been revoked, do not count toward the course total. Three situations cause most of the trouble.
- A license in the wrong state. Each state that hosts one of your rotations must also appear on an RN license you hold. For students near the District, GW's 2026 deck advises pairing a DC license with a multistate license from Maryland or Virginia. The RN license page walks through it.
- An item that lapses mid-term. Health insurance has to cover the entire term, and renewals such as TB, flu and BLS run on their own clocks in Complio. If one expires, fix it before your next shift, not after.
- A preceptor change. Under the 2021 guide, the placement team verifies any new or added preceptor before your first shift together, and that person gets a separate Site Prospector entry of their own.

Questions GW students ask
How will I know I am cleared for my GW rotation?
You receive a clearance notification once the backend review in CORE is finished. GW's 2026 CORE deck times them for the final week before classes. Until yours arrives, treat the rotation as pending, even if the preceptor has confirmed and the site has sent onboarding paperwork. CORE shows which review stage is still open.
Can my preceptor let me start before GW clears me?
No. GW's 2021 clinical placement guide says only the Clinical Placement Team can grant permission to start; neither faculty nor the site can. Hours worked before clearance do not count, and going on site early can put your place in the program at risk. Wait for the notification, then begin at the start of the term.
Do I need clearance again for my second clinical course?
Yes. GW treats each rotation separately. Any change of preceptor, site, rotation or term calls for a fresh Site Prospector entry, and each entry moves through program director review, the agreement check and compliance before clearance. An agreement already on file with the site can shorten the contract step, but your Complio record still has to be current for the new term.
What happens if clearance is still pending when classes begin?
Stay in close contact with the placement team and your Clinical Experience Faculty. GW's 2026 deck expects a secured site by the close of the second week. Past that, GW's 2021 guide sends a student still without a site at mid-semester into a conversation with their Clinical Experience Faculty and program director on whether the course can be finished that term.
Can I bank clinical hours over a break between semesters?
No. GW's 2026 CORE deck keeps every clinical hour inside the dates of the semester it belongs to, beginning with the term after your clearance. Shifts over a break fall outside those dates, so they would not count toward the course total. Ask your Clinical Experience Faculty before planning any shift near a term boundary.
