Clinical affiliation agreements: the contract behind every GW site
No GW clinical hour counts at a site without a completed contract with GW Nursing. The Clinical Placement Team takes on the agreement after your request passes program director review, but the time it needs depends on whether a contract already exists, who at the site can sign, and how the site runs its own contract review. A new agreement can take weeks to months, so the site you pick shapes your start date.

GW's rule
GW Nursing's Clinical Rotations page is short on this point: "A completed contract with GW Nursing is required for all clinical sites." The same page says the university completes the clinical agreement, collects preceptor documentation and clears students for their rotations.
The contract comes at a fixed point in GW's process. The Clinical Placement Model puts it at step 5, when the clinical placement team initiates the contract process after approval. The 2026 CORE workshop lists Affiliation Agreement as the second review stage, right after Program Director Review and ahead of placement confirmation, compliance and onboarding. GW's 2021 clinical placement guide adds that the team negotiates agreements with sites across the country.
"All clinical sites" means exactly that: a hospital, a two-provider practice, a community clinic, and a site where you already work. The workplace site guide covers that last case.
Who signs
On GW's side, the Clinical Placement Team prepares and executes the agreement. On the site's side, the signer is the site's authorized signatory, a person your request has to name.
GW's 2021 clinical placement guide says the signatory must be someone other than the preceptor unless the site administrator is also the business owner. So a nurse practitioner who owns their practice can both precept and sign, while an employed physician at a hospital usually cannot sign for the hospital.
The 2026 CORE workshop also asks for the correct affiliation-agreement contact email. That contact may be the signer, or an assistant or office that routes contracts to the signer. Ask the site before you file and enter the answer in your Site Prospector submission.
Existing versus new agreements
GW's 2021 guide describes two paths, depending on whether the site already holds a contract with GW Nursing.

Older GW documents gave similar ranges. A 2016 GW placement document said agreements may take one to four months, and a 2017 GW FAQ said the contract process can take up to three months. GW's current pages give no figure, so plan for the longer end with any site that is new to GW.
Re-confirming while the contract moves
Re-confirmation is your share of the agreement stage. When the team tells you a site has gone quiet, reach the office manager, confirm the rotation is still on, and check that the agreement went to the right person at the right address. Then report back to the Clinical Placement Team with what you learned.
Keep the preceptor in the loop as well. GW's Clinical Rotations page asks students to stay in contact with the site and the preceptor until the rotation starts, and a preceptor who knows the paperwork is waiting can often prompt their own administrator.

Why health systems with their own processes take longer
A practice owner can read an agreement and sign it the same week. A hospital or health system rarely moves that fast, because the agreement is a contract between two institutions. It may pass through the system's legal reviewers, be redrafted on the system's own template, or route through an academic affiliations or education office that handles every school sending students.
Large systems also add their own onboarding. GW's 2021 guide counts any site and state requirements among the clearance items, the 2026 review order ends with a Site Onboarding stage, and GW's Bulletin says students must satisfy all requirements set by clinical affiliation agreements plus any extra requirements of the clinical setting. In past years GW has even posted site-specific screening pages for systems such as Inova, HCA, Children's National and Virginia Hospital Center.
A big system can still be an excellent site. It simply calls for an earlier start, an early check on whether GW already has an agreement there, and a quick read of the system's onboarding steps.
The agreement and your clearance
An executed affiliation agreement is one of the four items GW's 2021 guide requires before the Clinical Placement Team clears you, alongside the preceptor's documentation, a complete Complio record and any site or state requirements. The clearance guide covers all four.
Hours begin only at the start of the term after clearance. A preceptor who is ready on day one still cannot count your time while the contract sits unsigned, which is why the agreement so often sets the real start date of a rotation.
An unsigned agreement on the first day of term means no countable hours yet, however ready your preceptor is.
