Complio for GW Nursing: timing, checklist and renewals

What Complio does and when to buy it

In GW's own description on the Compliance and Clinical page, "GW Nursing uses Complio® for student screening (background, drug screen, immunization, and compliance tracker)." It holds your personal clearance items. CORE, a separate system, holds the placement itself, so you need both in order before a clinical hour counts.

The timing rule on the same page is blunt: "Do NOT purchase a Complio account more than 4 months prior to clinical start." Count back from the first day of your first clinical term, not from your admission date. Full-time FNP students who enter in the fall usually reach NURS 6230 in their first summer, while part-time and DNP plans reach clinicals much later, so check your own term on the first clinical semester guide.

That four-month mark lands close to GW's placement request dates, which also sit roughly four months before each term. Expect the Complio order and your preceptor request to fall in the same stretch of weeks; the request deadlines page sets out GW's dates.

Ordering, review times and renewals

GW's Student Guide to Complio, listed on the Forms page as the Complio Order form, walks you through two purchases: the Immunization Tracking Package and the Background Check and Drug Screening Package. Once you upload a document, the guide says review takes 1–3 business days, so an upload made the week before clearance leaves little room to fix a rejection.

Renewals are where students slip. TB, health insurance and the OSHA and HIPAA modules run on one-year cycles, the flu vaccine renews each fall, CPR every two years and Tdap every ten. Put each expiry date on your calendar the day the item is approved.

Expiry dates matter because clearance can lapse. Under GW's 2021 clinical placement guide, time logged while clearance is revoked is not counted. Current rules may differ, but treat any expiry that falls inside a clinical term as something to renew before that term begins.

What Complio costs and who pays

GW does not print Complio package prices on its pages. You see them at gwucompliance.com when you order. The current page asks you to purchase your own account, and GW's 2021 clinical placement guide states that the costs of Complio, exams and extra site requirements "are the responsibility of the student."

Budget beyond the packages themselves. The physical on GW's form, any missing vaccine doses, a BLS course, and whatever a particular site adds during onboarding all sit outside the Complio price. A hospital that asks for its own paperwork or a repeat screen adds time as well as cost.

Liability or malpractice coverage is a separate question. GW's public pages do not say whether students must buy it, so ask the Clinical Placement Team before your first term rather than assuming either way.
